Job Introduction

To support the bid management function through assurance of the administrative functions.

The role is a new one for the team and is supportive in nature to free up valuable time of Bid Leaders/Managers so that they can focus on their key activity of winning new work for the organisation.

The role requires the ability to work with numerous stakeholders and build good collaborative relationships.

Work in the bids department can be highly variable with peaks which, at times, requires the ability to be able to juggle a considerable workload and be adaptable to the changing demands.

At all times the Bid Administrator must act as a role model for NNL’s values and behaviours.

Main Responsibilities

  • Responsibility for co-ordination of bidding team activity under the direction of a bid leader/manager in accordance with the procedure and adherence to governance:
    • Support to arranging meetings such as gate meetings
    • Occasional note taking and chasing down of actions
    • Proof reading of documents
    • Compiling of PQQ’s
  • Manage shared mailboxes to ensure that opportunities are not falling off the radar and undertaking regular checks that the appropriate governance steps have been followed
  • Manage opportunity databases such as CTM and ensure that new opportunities are promptly highlighted to the appropriate AD when they appear:
    • Work with AD’s to update search criteria
    • General support to AD’s with the opportunity pipeline; running and distribution of the report
  • Responsibility for maintaining the Bid library ensuring information is up to date:
    • Certificates
    • Boiler plate information
    • Case studies
    • CV’s and pen portraits
  • Occasionally the Bid Administrator could be asked to lead simple low risk, low value proposals

Essential Skills/Qualifications

  • Highly motivated individual with a positive “Can do” attitude and excellent interpersonal skills to drive the right relationships internally – a team player
  • Experience in a relevant role with a rudimentary understanding of the commercial environment that we operate in
  • Good organisational skills with a keen eye for detail and accuracy
  • Reasonable working knowledge of Microsoft Office software (Word, Excel, PowerPoint and editing/merging of PDF documents)

Desirable Skills/Qualifications

  • Familiarity with Content libraries
  • Ability to work under pressure to strict deadlines
